Privacy Policy

Prolific Painting Solutions ("we," "us," "our") provides interior painting services in Etobicoke and Mississauga, Ontario. This policy explains what personal information we collect, why we collect it, who we share it with, and what control you have over it.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

When you request an estimate — through our website form, a Facebook or Instagram ad form, a phone call, or a text message:

  • Your first and last name

  • Your phone number

  • Your email address

  • The address of the property to be painted

  • The city

  • The property type (house, condo, townhouse or apartment)

  • A description of the work you want done

  • Your timeline

  • Your budget range, if you choose to provide one

When we visit your property for an estimate: measurements, room counts, surface conditions, and notes about the work.

If you hire us: your signed agreement, the agreed price, payment records, and the dates we worked.

When you call or text our business number: the number you called from, the date and time, the length of the call, any voicemail you leave, and the content of text messages you send us. Our phone service provides an automatic text reply when we miss your call.

Photographs of completed work: we photograph rooms we have painted, before and after. See "Photographs of your home" below.

When you visit our website: our website provider records standard technical information such as your IP address, browser type, device type, and the pages you viewed. We do not use this to identify you personally.

Why we collect it

We collect your information for these purposes only:

  • To prepare and send you a written estimate

  • To contact you about that estimate and answer your questions

  • To schedule and carry out the work

  • To provide your address and job details to the subcontractor performing the work

  • To issue your contract, invoice and receipts

  • To honour our two-year workmanship warranty, which requires us to know what we painted and when

  • To meet our record-keeping obligations under Canadian tax law

  • To ask you for a review after the work is finished

We do not sell your personal information. We do not rent it, trade it, or share it with anyone for their own marketing purposes.

Consent

When you submit a form, call us, or text us, you are giving us permission to contact you about your painting project by phone, text or email.

You can withdraw consent at any time. Reply STOP to any text, click unsubscribe in any email, or contact us using the details above. We will stop contacting you. If you withdraw consent while we are in the middle of a job, we will still need to reach you to complete the work - tell us how you would prefer we do that.

Withdrawing consent does not require us to delete records we are legally required to keep, such as signed contracts and tax records.

Who we share it with

Subcontractors. The painters who perform your work receive your name, property address, phone number, the scope of work, and any access instructions you give us. They need this to do the job. They are not permitted to use your information for anything else or to contact you for their own purposes.

Service providers. We use third-party services to run the business:

  • Wix - our website and web forms

  • Google - our business listing, advertising, email, and the spreadsheet where we track estimate requests

  • Meta (Facebook and Instagram) — advertising and lead forms

  • Quo (formerly OpenPhone) — our business phone, text messaging and voicemail

  • Square — payment processing

Each of these has access only to the information needed to provide their service.

When the law requires it. We will disclose information if required by a court order, a government authority, or Canadian law.

Where your information is stored

Several of the services listed above store and process data on servers outside Canada, primarily in the United States. This means your information may be subject to the laws of those countries, including lawful access requests by foreign courts and government agencies. By using our services you consent to this transfer.

Photographs of your home

We photograph rooms before and after we paint them. We use these photographs on our website, our Google Business Profile, and in social media advertising.

These photographs never include your name, your street address, or your unit number. We identify locations only by neighbourhood - for example, "Living room, Mimico." We do not photograph people, personal documents, or identifiable personal belongings.

You can decline. Tell us before or during the job and we will not photograph your home, or we will not publish photographs already taken. This will not affect your price or your service in any way. If you change your mind later, contact us and we will remove the images from anywhere we control.

How long we keep it

  • Estimate requests that don't become jobs: two years from your last contact with us, then deleted

  • Completed job records — contracts, invoices, payment records: seven years, as required for Canadian tax purposes

  • Photographs: until you ask us to remove them, or until we stop using them

  • Text messages and call records: two years

How we protect it

We limit access to your information to people who need it to do their job. Our accounts are protected by strong passwords and two-factor authentication where the service offers it. Paper documents such as signed contracts are stored securely and are not left in vehicles or on job sites.

No method of storage or transmission is completely secure. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.

Your rights

You can:

  • Ask what we have. We will tell you what personal information we hold about you, how we've used it, and who we've shared it with. We will respond within 30 days.

  • Correct it. If something is wrong, tell us and we will fix it.

  • Ask us to delete it, except where we are legally required to keep it.

  • Withdraw consent to being contacted.

Contact our Privacy Officer using the details at the top of this policy. We may ask you to verify your identity before releasing information.

Cookies

Our website uses cookies necessary for the site to function and to understand how visitors use it. You can block or delete cookies in your browser settings. Blocking them may affect how parts of the site work.

We also use advertising tools from Meta and Google that may place cookies to measure whether our ads are working. You can adjust ad personalisation in your Facebook, Instagram and Google account settings.

Children

Our services are for property owners and tenants. We do not knowingly collect personal information from anyone under 18.

If you're not satisfied

Contact our Privacy Officer first. We will investigate and respond.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top. Material changes will be noted here.
